Events Organiser – Supporting Engaging Village Experiences
We’re looking for a highly organised and enthusiastic Events Organiser to join our team, supporting the planning and delivery of vibrant, engaging events across our villages. This role requires regular travel to different village locations and close collaboration with both the Community & Wellbeing Team and Marketing, ensuring events are well-promoted, inclusive, and enriching for our residents.
As an Events Organiser, you’ll play a key role in coordinating activities, managing bookings, liaising with suppliers, and ensuring each event runs smoothly from initial planning through to delivery. You’ll support the wider team in creating meaningful, engaging village experiences that bring residents together, strengthen community connections, and reflect the unique lifestyle that defines Inspired Villages.
Working closely with the Community & Wellbeing team, you will help ensure events support resident wellbeing and social connection. In partnership with Marketing, you’ll contribute to the promotion and communication of events, helping maximise engagement and participation across the villages.
The Role
Event Planning & Programme Ownership
- Developing and managing an annual programme of centrally supported promotional events (approximately six per year), delivered consistently across all villages.
- Designing, creating, and maintaining standardised event toolkits, including templates, planning guides, checklists, and materials to enable confident and seamless local delivery.
- Acting as the central Events Organiser and remote event producer, with villages responsible for on-site set-up and hosting.
Supplier & Logistics Management
- Sourcing, negotiating, and managing suppliers across the estate to achieve economies of scale across equipment, décor, entertainment, catering, and related services.
- Owning and coordinating all event logistics, including deliveries, equipment hire, venue requirements, catering, entertainment, and Health & Safety compliance.
- Ensuring all materials and supplies are delivered accurately, on time, and to specification across each village.
- Overseeing supplier performance, service standards, commercial terms, and cost control to ensure value and quality.
Collaboration & Operational Delivery
- Working closely with Village Management, Sales, Community & Wellbeing, F&B, and other operational teams to tailor events to local communities while maintaining brand consistency.
- Partnering with Marketing to support event promotion and communication, while retaining ownership of event planning, coordination, and delivery.
- Providing on-site support at key events where required, offering hands-on organisation, problem-solving, and real-time troubleshooting.
- Empowering village teams through clear guidance, practical resources, and best-practice support to deliver outstanding events locally.
Performance, Budget & Continuous Improvement
- Gathering and analysing feedback from residents, prospects, and village teams to inform improvements and enhance future event experiences.
- Reviewing sales-related outcomes (such as enquiries and reservations) to assess event effectiveness and return on investment.
- Managing event budgets, raising purchase orders, tracking spend, and reporting on performance against forecast.
- Ensuring full compliance with company policies, safeguarding requirements, and Health & Safety standards at all times.
Brand & Experience Excellence
- Delivering high-quality, consistent, and engaging event experiences for residents, families, and stakeholders.
- Championing Inspired Villages’ values, brand standards, and communication principles across all events.
- Contributing positively to a collaborative, inclusive, and community-focused culture across the organisation.
Key Requirements:
- Proven experience planning and delivering events, ideally within a hospitality or community-focused environment.
- Hands-on experience managing end-to-end event logistics, including venue coordination, catering, entertainment, and equipment hire.
- Experience creating and implementing standardised event toolkits or operational guides that enable local teams to deliver events confidently and consistently.
- Strong supplier management experience, including negotiating costs and maintaining high service quality across multiple events.
- Demonstrated experience providing on-site event support, proactively troubleshooting issues and ensuring smooth execution.
- Experience gathering and analysing event feedback and performance data to drive continuous improvement.
- Familiarity with budget management and reporting, including tracking expenditure and evaluating return on investment.
- Experience collaborating with marketing teams to support event promotion and promotional materials.
- Awareness and understanding of the needs and preferences of retirement-age customers.
